WHAT TO EXPECT DURING THE INTRODUCTORY CALL 

Once you schedule your call you will receive a confirmation email. Our Registered Dietitian Nutritionist, Cary Cuevas, will also send a follow-up email with additional information, including a zoom link if you choose a virtual appointment.


The virtual or phone calls lasts between 15 and 25 minutes. Cary will start the conversation by giving you a brief background on her career and experience, and approach to working with individuals.


We save most of our time talking about what health concerns and goals you have and what kind of support you're look for working with a Registered Dietitian (RDN). Cary may ask some questions to better understand your needs. Feel free to ask any questions you have at this time, or as they come up throughout the conversation.


If we decide to move forward and schedule a first appointment, we’ll go over the next steps for setting up an account with our electronic medical record and health portal, Healthie. Many clients like to have in person sessions every 2-3 months to get measurements taken and tract metrics, while meeting virtually every 1-4 weeks in between office visits. The flexibility of virtual or office visits are up to you.

 

Our in-personal Nutrition Services appointments are held at a small fitness studio called Aspire Total Fitness in Happy Valley, Oregon.

 

Our virtual appointments for Nutrition Services are conducted through our HIPAA approved secure web-based health portal called Healthie.


All our intake forms and standard HIPAA required forms are electronic and stored on our health portal. You’ll receive an email to create an account and complete the forms. If you have one of the health insurance plans we accept, you will share that information as you set up your account. You will also receive appointment confirmations through the health portal.

If you are planning to use health insurance, please complete and submit the health insurance information form as soon as possible so we can verify coverage and avoid sending a bill to cover the cost of the service after the session. For out-of-pocket payments we accept credit cards, HSA and Flexible Spending cards or we can provide a detailed invoice for flexible spending reimbursement.

FAQ

WILL MY HEALTH INSURANCE COVER SEEING A REGISTERED DIETITIAN NUTRITIONIST IF I JUST WANT TO LOSE A LITTLE WEIGHT OR EAT HEALTHIER?

Most health insurance plans will cover nutrition services appointments to improve eating behaviors without having an underlying health condition. Nutrition services are often a part of the preventative services program your plan offers. Under preventative services deductibles do not need to be meet and copays or coinsurance do not apply. Call your health insurance plan to find out how many preventative nutrition services appointments your plan provides per year. Here is a helpful guide to determining your nutrition services benefits.

HOW CAN I USE MY HSA OR FLEXIBLE SPENDING?

If you have an HSA or Flexible Spending Debit or Credit Card, we can accept all forms of debit or credit card payments. Please let us know if you will need a detailed receipt for proof of service. We can also provide a detailed receipt or invoice for you to submit for reimbursement.

HOW MANY NUTRITION SESSIONS DO I NEED TO ACCOMPLISH MY GOALS? AM I OBLIGATED TO PURCHASE A MINIMUM NUMBER OF SESSIONS?

Everyone has different needs and goals. Some people only feel like they need 1 or 2 sessions to help them accomplish their goals. Others schedule sessions every 2-3 weeks for accountability, support, and guidance. Therefore, we do not require a minimum number of sessions to be purchased. We only charge on a per session basis 24 hours before the session. Our current rates range between $60 - $150 for sessions lasting between 30 (virtual only) to 75 minutes. For those using health insurance to cover all or part of your sessions, we can only bill on a per session basis. Appointments billed through health insurance can last longer than 75 minutes, depending on time available and your needs during the session.

What is late cancelation or no show policy?

We understand that life gets hectic and emergencies happen, so we try to be as flexible as possible with our late cancel or no show policy. Communication is essential to avoid paying for a session you do not attend or being charged the late cancelation or no show fee. Out of pocket sessions are charged up to 24 hours in advance. A 24-hour notice is required to cancel or reschedule a session without being subject to losing the session if you are paying out of pocket. For clients using health insurance you may be subject to a late cancelation or no show fee of $75. ​​
